Voice Announcements send a recorded audio message to guests as an automated phone call. Each guest’s phone rings and your recording plays when they answer — no WhatsApp required.

When to use voice announcements

Voice announcements are best reserved for situations where a phone call adds value that a text message doesn’t:
  • VIP guests who deserve a personal invitation rather than a text
  • Urgent updates where some guests may not check WhatsApp promptly — a ringing phone demands attention
  • A personal touch — recording a message in the couple’s own voice for close family or the wedding party
  • Accessibility — reaching guests who are not active WhatsApp users
For routine announcements (save the date, venue directions, RSVP requests), WhatsApp messages are more cost-effective and easier to track. Use voice for the moments where the call itself is part of the message.

How to send a voice announcement

Start a voice announcement

In the Announcements section of the app, tap Add Announcement (the + button), then under By phone call choose Play a recorded message.

Add your recording

Under Add a Voice Recording, either tap Record to record with your phone’s microphone, or Upload MP3 to use a file from your device. While recording, tap Stop & Upload when you’re done, or Cancel to discard it. After recording or uploading, check:
  • The duration looks right (this determines cost per call)
  • It sounds right — use Re-record or Upload new to replace it
Recording requirements:
  • Format: record in the app, or upload an MP3 or M4A file
  • Size: up to 10 MB
  • Duration: 30–120 seconds recommended; longer calls cost more
  • Quality: Record in a quiet space, speak clearly at a moderate pace
If the app shows “Microphone permission is required”, allow microphone access for Weddingkart in your phone’s settings. “File size should be less than 10 MB” or “Recording is too large. Max 10 MB.” means the audio is too big — trim it or record a shorter message. If you see “Upload failed. Tap to try again.”, tap it to retry.

Select recipients

Tap Continue to Add Guests and choose who receives the call:
  • Groups — select one or more guest groups, or send to all guests
  • Individuals — pick specific guests by name
If you select multiple groups, each guest receives only one call even if they belong to more than one group. Each guest is called on the first phone number on their guest record; guests with no phone number are skipped.

Check the cost

The review screen shows the estimated credit cost before you send, with the reminder “Voice calls are billed per minute of talk time, not per guest”. The rate depends on each guest’s country — review this carefully, as voice calls cost more than WhatsApp messages.

Send or schedule

Choose Send Now or Schedule for Later, then confirm. Calls are initiated automatically — you don’t need to take any further action.For larger sends, the Confirm Announcement sheet says “You are about to make voice calls to N people. This will use credits from your balance.” and asks you to type the number of people to proceed.
Guests hear the recording only — they can’t respond during the call, and nothing they say is captured. To collect answers, follow up with a WhatsApp announcement.

Monitoring call status

After sending, you can view the delivery status for each call from the announcement detail view. Status types include: Status updates in real time as calls are delivered.

Listen report

On a voice announcement’s report, tap the Listen report icon to see how much of your recording guests actually heard:
  • Median — the typical share of the recording guests listened to
  • Heard full — the percentage who listened to the end
  • Hung up in first 3s — guests who hung up almost immediately
  • Voicemail — calls that look like they reached voicemail rather than a person
  • Per guest — each guest’s listen percentage; tap Didn’t hear past 5s to show only the guests who barely listened
Until calls finish you’ll see “No calls have completed yet.” Use the per-guest list to decide who needs a follow-up WhatsApp or a personal call.

Pricing

Voice call costs are calculated per minute of your recording, per guest, based on the guest’s phone number country. Calls to numbers outside India cost more than calls within India. Current rates are on weddingkart.co/pricing. Each call’s cost is rounded up to a whole number of credits. The estimated cost is shown on the review screen before you send, and is deducted from your credits when you send. The amount deducted at send time is an estimate. After each answered call ends, its charge can be adjusted — a call that ends before your recording finishes gives a little back, and one that runs longer takes a little more — so your balance can move slightly once the calls finish, and can dip below zero. Calls that are not answered, busy or fail are refunded in full (see below).

Recording tips

For good audio quality:
  • Record in a quiet room with minimal echo
  • Use your phone’s voice memo app or a decent microphone
  • Speak clearly and at a moderate pace — not too fast, not too slow
  • Test playback before uploading
For effective content:
  • Open with who you are and what wedding this is about
  • State the purpose of the call clearly within the first 10 seconds
  • Include the key details: date, time, location, or what action the guest should take
  • Keep it under 60 seconds for simple reminders; 90 seconds maximum for detailed messages
  • End with a warm, clear closing
Example structure for a 45-second RSVP reminder:
“Hello, this is [Name] calling about Priya and Arjun’s wedding. I’m reaching out because we haven’t received your RSVP yet. The deadline is March 1st. Please reply to the WhatsApp message we sent earlier, or call us directly. We’d love to have you there — thank you!”
If a call is not answered, the line is busy, or the call fails, the credits for that call are refunded automatically. Calls that reach voicemail are charged.

If you see a message

What happens if…

  • A guest is in two selected groups? They get one call.
  • A guest doesn’t pick up? The status shows No answer and the credits come back. There is no automatic retry — send again to the guests you want to reach (each new send is charged again).
  • The call goes to voicemail? Your recording plays into voicemail and the call is charged. The listen report counts it under Voicemail.
  • A guest hangs up early? The call is charged for the time it was connected, and the listen report shows how much they heard.
  • I re-upload a new recording? Calls you send after that play the new recording. Calls already made are unaffected.
