The Google Sheets integration exports all your wedding guest data to a live Google Sheet. The sheet is organized by columns and includes everything you’ve collected — RSVPs, travel ticket details, ID card status, and custom guest attributes.
Google Sheets sync is available on the Standard plan only. It is not included in the Basic plan.

Who this is for

This integration is useful when you need to share guest data with people who don’t have Weddingkart access — such as your catering team, logistics partners, or family coordinators. Instead of giving them app access, you share a Google Sheet link directly.

How the sheet is created

You don’t need to set anything up or connect a Google account.
  • Weddingkart creates the sheet for you shortly after you create the wedding. It lives in Weddingkart’s Google account and is named after the wedding, in the form “Weddingkart Guest Details …”.
  • Each wedding has one sheet (the Master Sheet) with several tabs. Syncing updates the same sheet — the link doesn’t change.
  • The person who created the wedding gets a WhatsApp message with the link when the sheet is first created, and again each time a sync you start finishes.
  • Team members get the link on WhatsApp when they’re added to the team, if the sheet already exists. See Team Collaboration.

What’s included in the export

The exported sheet contains one row per guest with the following columns:
  • Guest name and phone number
  • Group membership
  • RSVP status and response
  • Travel ticket status and extracted details (arrival time, departure city)
  • ID card status
  • Custom guest attributes

Tabs in the sheet

The Master Sheet is split into these tabs: A few details:
  • Guests can have up to three phone numbers, shown as Phone 1, Phone 2, and Phone 3.
  • If a guest was deleted after sending a document, their ID card or ticket row stays, and the guest details show deleted guest.
  • Header rows are bold and filterable, so you can filter by RSVP, group, or arrival date straight away.

Syncing to Google Sheets

Open Export Guest Data

Open the wedding in the Weddingkart app, open the More menu, and tap Export Guest Data.

Tap Sync Now

In the Google Sheets section, tap Sync Now to refresh the sheet with the latest guest data.

Wait for the sync to complete

The sync runs in the background, so you can leave the page while it finishes. The section shows when the sheet was last updated.

Open the Google Sheet link

Tap the sheet link in the Google Sheets section to open it in Google Sheets. Your guest data appears organized by columns, ready to share or filter.
You can also tap Export to Google Sheet from the RSVP, ID card, and travel ticket response screens.

What you see while it syncs

The screen also says “You can leave this page. The sync will continue in the background.” If you start another sync right after one, you may see one of these messages instead of a new sync starting:
  • “Your task is already in queue, please wait for few more mins” — a sync you started less than a minute ago is still waiting or running. Wait for it to finish.
  • “Guest sheet is just got updated, please check” — a sync finished less than a minute ago. Open the sheet; it’s already current.
  • “Guest sheet is updating, please check after few mins” — your new sync has started.

Who can sync

  • Admins and Members can tap Sync Now and sync documents to Google Drive.
  • View Only team members can open the sheet link, but can’t start a sync. See Team Collaboration.

Syncing documents to Google Drive

The same Export Guest Data screen has a Google Drive section. Tap Sync to Google Drive to copy the original travel ticket and ID card files (PDFs and images) that guests submitted into a Google Drive folder. Travel Tickets and ID Cards sync separately, each with its own button and status:
  • Not synced yet — nothing has been copied to Drive for this type yet.
  • Syncing… with a progress count — files are being copied. You can leave the page; the export continues in the background.
  • 12 files synced, or 3 new, 9 already up to date (for example) — the sync finished. Only new files are copied each time; files already in Drive aren’t copied again.
  • No files to sync — guests haven’t sent any files of this type yet.
  • Sync failed or Export failed with a Retry button — tap Retry.
When files are in Drive, tap Open Google Drive Folder to see them, or Re-sync to copy any new files. If you tap sync while one is already running, you see “Export already in progress”.

Sharing the sheet

The sheet link is already set so that anyone who has the link can open it and add comments. You don’t need to change any sharing settings — just send the link to your catering or logistics team.
  • The sheet is view-only for everyone, including you. You can read, filter, sort, and comment, but you can’t edit cells.
  • Every sync rewrites each tab with the latest data from Weddingkart. Anything added to the sheet by hand wouldn’t survive the next sync.
  • To edit the data or build your own reports, make your own copy in Google Sheets (File > Make a copy). Your copy won’t update when Weddingkart syncs, so make a fresh copy when you need current data.
  • Anyone with the link can see guest names and phone numbers, so only share it with people who should have that information.
Re-sync the sheet right before sharing with your catering or logistics team to make sure you’re sending them the most current data.

Troubleshooting

Tap Sync Now in More > Export Guest Data and wait for Synced just now. Then reload the sheet in your browser — an open Google Sheets tab may not show new data until you reload it.
A sync is already running for this wedding. Large guest lists take longer. Wait a few minutes, then check Last updated. If the status changes to Sync failed, tap Retry.
That’s expected. The sheet is view-only so that every sync can safely replace its data. Use File > Make a copy in Google Sheets to get an editable copy.
Check your access role on the wedding. View Only team members can open the sheet but can’t sync it. Ask an Admin to change you to Member.
The sheet only includes documents Weddingkart has received. Check the guest in the app first. If the document is there, tap Sync Now and wait for the sync to finish.

No. Weddingkart creates and owns the sheet. Anyone with the link can open it in a browser. You only need a Google account if you want to make your own editable copy.

Yes. Team members receive the link on WhatsApp when they’re added, if the sheet already exists. You can also forward the link to them.
