Scheduling lets you create an announcement now and set an exact date and time for it to go out. Weddingkart sends it automatically — no need to be online or take any action when the time arrives. This is how professional event managers handle wedding communication: build the entire sequence upfront, schedule each message, and let the platform handle delivery while you focus on the event itself.

How to schedule an announcement

Create your announcement

Build your announcement as usual — choose a template, fill in the variables, and optionally attach a PDF or image.

Select recipients

Choose individual guests or one or more guest groups. When you select more than one group, Combine options lets you choose:
  • Send to all selected groups — everyone in any of the groups; each guest receives the message once even if they belong to several
  • Send only to common guests — only guests who appear in every selected group

Choose Schedule for Later

On the review screen, under Send Options, pick Schedule for Later instead of Send Now.

Pick the date, time and time zone

Select when you want the message to go out, and the time zone that time is in. The picker starts 10 minutes from now, and the time zone starts as your phone’s — tap it to choose another (Select Timezone lets you search by city or region). The scheduled time must be in the future; if it isn’t, you’ll see “Scheduled time must be in the future” and the button stays disabled.

Confirm the schedule

Tap Schedule Announcement. Weddingkart will send it automatically at the scheduled time without any further action from you. The Announcement Scheduled! screen confirms the time, recipients and status, with View All Schedules and Back to Announcements.
Credits are not taken when you schedule. They are checked and deducted when the schedule sends, at the same rates as sending now — see What it costs. Make sure the wedding has enough credits at that moment.
For group sends, the guest list is finalised when the message goes out, not when you schedule it. Guests added to or removed from the selected groups before then are included or excluded automatically.

Managing scheduled announcements

All your schedules are listed in the Schedules section. Tap one to see its Recipients and actions:
  • Change Time — move the send time (at least 15 minutes in the future). Available on Draft and Scheduled schedules
  • Send Now — send a draft schedule immediately without waiting for the scheduled time
  • Cancel — stop a schedule before it sends
  • Resume Schedule — reactivate a cancelled schedule
  • Activate Schedule — turn a draft schedule on
  • View Report — see delivery for a schedule that has sent
The Recipients panel shows how many guests the schedule will reach. For group sends it says Recalculated when it sends, because group membership is checked again at send time; for individually picked guests it says Exact audience — fixed when scheduled. A few rules to know:
  • If you pick a new time less than 15 minutes away with Change Time, you’ll see “Please schedule at least 15 minutes in the future”. Change Time uses your phone’s time zone.
  • The cancel confirmation says the action cannot be undone, but a cancelled schedule can still be brought back with Resume Schedule — as long as its time hasn’t passed. Once the time has passed, create a new schedule instead.
  • A schedule that has sent can’t be changed — it only offers View Report. To send the same announcement again, add a new schedule.

Schedule status

Each schedule shows one of the following statuses:

When a schedule sends — or fails

When a schedule goes out, everyone on the wedding team gets a WhatsApp message and an app notification: Announcement sent (with how many guests it went to) or Announcement failed (”… failed to send. Tap to view details.”). Tap it to open the report. Before sending, Weddingkart checks the schedule again. If something is wrong it marks the schedule Failed and nothing is sent or charged. Common reasons shown under a failed schedule: Once sent, individual guests can still fail (for example a number that isn’t on WhatsApp) — check the schedule’s View Report. Credits for messages that fail are returned automatically.

Useful scenarios for scheduling

  • Save the date — schedule weeks in advance so it goes out at the right stage of planning
  • Day-before reminder — queue a venue directions message to send the evening before the event
  • Morning-of logistics — schedule the “here’s how to get there” message for 8 AM on the wedding day, so guests see it exactly when they need it
  • Baraat timing — schedule a “get ready, the procession starts in one hour” message for the groom-side group only, one hour before the Baraat
  • Post-wedding thank you — set up a thank-you message to send a day or two after the wedding

Multiple schedules for one announcement

You can attach more than one schedule to the same announcement template. For example, you can send the same RSVP request to the bride-side group on one date and the groom-side group three days later — both from a single announcement. You can also create a reminder sequence: send the first message 7 days before the RSVP deadline, a follow-up 2 days before, and a final nudge the morning of.
Set up your full announcement calendar when you first configure a new wedding. Scheduling everything at once means you’ll never need to remember to send a message at a critical moment.

Voice announcements

Recorded voice announcements can be scheduled the same way. AI voice calls cannot be scheduled — they are sent immediately.

Time zones

When you schedule, you choose the time zone the send time is in, and the Schedules section shows which time zone its times are displayed in. Account for where your guests are located — a message sent at 9 AM in Delhi reaches guests in a different time window than guests in London or New York. The Schedules list shows a line such as “Times shown in IST (UTC+05:30)” under the heading — every time in the list is converted to your phone’s time zone, whatever zone you scheduled in. For example, a message scheduled for 9:00 AM London time appears as 2:30 PM on a phone set to India time (1:30 PM during British Summer Time).
Avoid scheduling messages before 8 AM or after 10 PM in the recipient’s local time zone. Messages sent at unusual hours are often muted or ignored, and may signal to guests that your communication is disorganized.

Common questions

Any time in the future when you first schedule it. When you use Change Time on an existing schedule, the new time must be at least 15 minutes away.
No. Scheduled announcements are sent by Weddingkart’s servers, so your phone can be off.
When it sends, not when you schedule it. If the wedding doesn’t have enough credits then, the schedule fails with “Insufficient credits…” and nothing is charged.
Cancel stops a schedule so it won’t send. Resume Schedule turns a cancelled schedule back on at its original time — which only works while that time is still in the future.
Send Now appears on draft schedules. For an active schedule, use Change Time to bring it forward, or cancel it and send the announcement directly from its editor.
Yes, for group sends — the list is finalised when the message goes out. Guests picked individually are fixed when you schedule.
Read the reason under it in the Schedules list, fix it (top up credits, add the attachment, re-pick recipients) and schedule the announcement again. No credits are used for a failed schedule.
