Team collaboration lets multiple people — event managers, coordinators, the bride, groom, or family members — access and manage the same wedding simultaneously. Everyone works from the same live data, so there’s no version confusion or missed updates.

What team members can do

When you add a team member, you choose their Access Role. Admins and Members can:
  • Manage the guest list
  • Send announcements and WhatsApp messages
  • Handle RSVPs
  • Manage travel and ID collection
  • View payment and credit details

Access roles

Use View Only for people who only need to follow along — for example, a family member who wants to watch RSVPs come in without accidentally messaging guests.

Permission details

The table below lists what each access role can do on a wedding. A few more things to know:
  • Members can manage the team. A Member can add people, change anyone’s access role, and remove people — the same as an Admin. Only give Member access to people you trust to manage the team.
  • View Only is enforced when someone tries to change something. A View Only person sees the same buttons as everyone else, but any action that adds, edits, deletes, or sends is refused. They may see the message “Permission denied for role = view_only”. That means the action was blocked on purpose, not that something is broken.
  • Moving referral credits into a wedding depends on who created the wedding, not on access role. Only the person who created the wedding can transfer their personal referral credits into it. See Referral Program.
  • Access to your own WhatsApp number is separate. Your role on a wedding doesn’t let someone send from, or create templates on, a WhatsApp Business number you connected. That’s a separate grant, covered in Share your number with your team.

Adding a team member

Go to Team Management

Open the wedding in the Weddingkart app and tap Team (in the More menu). This opens Teams Management.

Tap Add Team Member

Tap the Add Team Member button. The Invite to team screen opens.

Enter their details

Enter the team member’s Name and Phone Number, pick their Wedding Role, and choose an Access Role — Admin, Member, or View Only. You can type the number or pick it from your phone’s contacts.

Tap Save

When the member is added, you see ”🎉 Team Member Created!” and they appear in the team list.

They receive a WhatsApp notification

The invited person receives a WhatsApp message informing them they’ve been added to the team. If the wedding’s Google Sheet has been created, they also receive its link on WhatsApp.

They log in and see the wedding

The team member logs into Weddingkart using that phone number. The wedding appears in their account automatically — no separate invite acceptance needed.
You can change a team member’s role or remove them later from the same Teams Management screen.

The fields on the invite screen

All four fields are required.
  • Name — how the person appears in the team list.
  • Phone Number — the number they will log into Weddingkart with. The country code starts as India (+91); change it for a team member with a number from another country.
  • Wedding Role — who the person is to the wedding: Event Manager, Bride, Groom, Relative, Weddingkart Team, or Others. If you pick Others, a Specify Role field appears so you can type their role. The wedding role is a label only — it doesn’t change what the person can do.
  • Access Role — Admin, Member, or View Only. This is what controls their permissions.
If you tap Save without a wedding role, you see “Please select a wedding role”. Without an access role, you see “Please select an access role”.
You can add someone before they have ever used Weddingkart. As soon as they sign up with the phone number you entered, the wedding is waiting in their account.

Editing or removing a team member

Tap a person’s card in Teams Management to open their details.
  • To change their name, wedding role, or access role: make the change and tap Update. You see ”🎉 Team Member Updated!”.
  • To change their phone number: you can’t edit the phone number of an existing team member. Remove them and add them again with the new number.
  • To remove them: tap Delete, then confirm Yes, delete in the Delete Member? dialog. They lose access to the wedding straight away. You see ”🎉 Team Member Deleted!”.
  • To leave a wedding yourself: open your own card and tap Delete. The dialog warns “You will lose access to this wedding. Are you sure?” After you confirm, the app returns you to the home screen and the wedding disappears from your list.
A wedding must always have at least one Admin. If you try to remove the only Admin, you see “Cannot delete the only admin of the wedding”. Make someone else an Admin first, then remove the original Admin.

Real-time collaboration

All changes made by any team member are instantly visible to everyone else on the team. This includes:
  • Guest additions or edits
  • Incoming RSVP responses
  • Guest messages in two-way chat
  • Travel and ID uploads
There’s no need to refresh or sync — the data updates live for the whole team.

Troubleshooting

The wedding appears for the phone number you entered when you added them. Check these in order:
  1. They logged in with a different number. Open their card in Teams Management and compare the number, including the country code. If they have a number from outside India, make sure it wasn’t saved with +91. To fix a wrong number, remove them and add them again with the right one.
  2. They were removed. If their card is no longer in Teams Management, add them again.
  3. They haven’t logged in yet. The wedding shows only after they log into Weddingkart with that number.
If someone who isn’t on the team tries to open the wedding (for example, from an old link after being removed), they see “You are not allowed to access the wedding - …” followed by the wedding’s number.
That phone number is already on this wedding’s team. Find the person in Teams Management and edit their role instead of adding them again.
Check their access role. A View Only person can look at everything but can’t add, edit, delete, or send. Change them to Member if they need to make changes.
The notification is only a courtesy — the person doesn’t need it to get access. As long as they log in with the number you entered, the wedding appears in their account. The Google Sheet link is only sent if the wedding’s sheet had already been created when you added them.

Best practices

  • Add team members early. Set up your team at the start of wedding setup so everyone has access before activity begins.
  • Include family stakeholders if needed. If the bride, groom, or a family point of contact wants to monitor responses, add them as a team member.
  • Give the least access that works. Make people who only need to watch progress View Only, so only the people running the wedding can message guests.
  • Keep two Admins. A second Admin can still extend the wedding or change the WhatsApp Bot if the first Admin is unavailable.
  • Divide responsibilities. Admins and Members can all send messages and edit guests, so agree on task ownership — for example, designate one person to monitor guest chat and another to track RSVPs.

No. The app doesn’t set a limit on team size.
No. Adding team members doesn’t use credits. Credits are only used when you message or call guests.
Wedding Role (Event Manager, Bride, Groom, Relative, Weddingkart Team, Others) describes who the person is. Access Role (Admin, Member, View Only) decides what they can do. Only the access role affects permissions.
Yes. Members can add, edit, and remove anyone on the team, including Admins, as long as at least one Admin stays on the wedding.

Add them as team members: Team → Add Team Member, enter their name and the phone number they’ll log in with, pick a Wedding Role such as Bride or Relative, and choose Member as the Access Role. Members can add and edit guests. Choose View Only if they should only follow along.
View Only people see the same screens as everyone else. If the wedding doesn’t appear at all, they’re almost always logged in with a different number from the one you added, or the country code is wrong. Compare the number on their card in Teams Management with the one they log in with. To fix a wrong number, remove them and add them again. If they can see the wedding but every change fails, that’s View Only working as intended — change them to Member.
The number you type on the login screen. Weddingkart has no passwords — you log in with a one-time code sent to that number by SMS and on WhatsApp. Team members must log in with the exact number they were added with, including the country code, or they won’t see the wedding.
Your weddings belong to the phone number you logged in with. If you use two numbers, open the side menu, tap Logout at the bottom, and log in again with the other number. To see a wedding from both numbers, add your other number to that wedding’s team.
