When you connect your own WhatsApp number, you are its owner. You can share it with people on your team, so they can create events that send from your number and write message templates for it — without connecting a number of their own.

Number access is separate from event access

There are two separate kinds of access, and it helps to keep them apart:
  • Your role on an event (Admin, Member, or View Only) controls what you can do inside that event — see Team Collaboration.
  • Your access to a WhatsApp number controls whether you can pick that number for a new event and create message templates on it.
In practice:

Roles on a number

The Manage access screen sums it up: “People with access can send messages and manage templates from this number. They cannot change its registration or business profile.”
Only the owner can make someone an admin. When an admin opens the invite screen, the Admin option reads “Only this number’s owner can make someone an admin.”

Inviting someone

You can invite people from the number itself, or straight from an event’s Team screen.

From the WhatsApp Business screen

Open the number

Tap Your WhatsApp numbers in the side menu, and find the number on the WhatsApp Business screen.

Tap Access

Tap the Access row on the number’s card. It shows a summary such as Access · Only you or Access · 2 people, 1 invitation pending. This opens Manage access. The row is shown to the owner and to admins.

Invite someone

Tap Invite. On the Invite someone screen, enter their name and Phone Number, and under What can they do? choose Collaborator or Admin.

Send the invite

Tap Send invite. Weddingkart notifies them about the invite on WhatsApp and in the app. They don’t need a Weddingkart account beforehand — they log in with that phone number.

From an event’s Team screen

On an event that sends from your own number, each person on the Team screen shows whether they can create templates on the number: If you can manage access to the number, a Give access button appears next to people who don’t have it. Tapping it asks “Give access to your WhatsApp number?” and sends them an invite as a collaborator. You see “Invite sent to [name]. They get access once they accept.”

Accepting an invitation

Invitations appear on the invited person’s WhatsApp Business screen under Invitations: “[name] invited you to send from [number]” — “If you accept, you can send messages and manage templates from this number. You can leave at any time.” Tap Accept or Decline. The invitee may need to accept before they can use the number. Until then, the number appears in the event creation sheet but can’t be picked, with the note “Your access to this number is still pending”. After accepting, the number appears under Shared with you — on the WhatsApp Business screen and in the Who sends the messages? sheet.

Managing people

On Manage access, people appear under Invitations pending (marked Invited) and People with access (marked Has access). Tap the menu next to a person to:
  • Make admin / Remove admin — owner only.
  • Edit name — owner only. The phone number can’t be changed. To give a different phone number access, remove this person and invite the new number.
  • Cancel invitation — for someone who hasn’t accepted yet.
  • Remove access — the owner can remove anyone. An admin can remove collaborators, but not other admins.

What removing someone does

When you remove someone, the app confirms: “[name] won’t be able to use this number for any NEW wedding. Weddings they already have access to are not affected.” Removing someone from the number does not remove them from events that already send from it. If you want them to stop sending on an existing event too, remove them from that event’s team (or make them View Only) on the event’s Team screen.

Common questions

Yes. On an existing event, the event’s Admins and Members can send announcements from the event’s number, whether or not they have access to the number itself. View Only team members can’t send.
Creating a template needs access to the WhatsApp number, which is separate from access to the event. They’ll see “You need access to this WhatsApp number” — “Ask the number’s owner to give you access — they can do it from the Team screen.” Tap Give access next to them on the event’s Team screen, or invite them from Manage access.
You may need to accept the invitation first. Open Your WhatsApp numbers from the side menu and tap Accept under Invitations. The number can also be unavailable for other reasons, such as a missing payment method or a business name under review — the sheet says which.
No. Only the number’s owner can make someone an admin or remove an admin.
No. People with access can send messages and manage templates. They cannot change the number’s registration or business profile. Only the owner can register, brand, or reconnect the number.
No. Removal only stops them from picking the number for new events. To stop them on an existing event, change their role or remove them on that event’s Team screen.
