# Voice Announcements

> Deliver personalized voice messages to guests via phone call

Voice Announcements send a recorded audio message to guests as an automated phone call. Each guest's phone rings and your recording plays when they answer — no WhatsApp required.

## When to use voice announcements

Voice announcements are best reserved for situations where a phone call adds value that a text message doesn't:

* **VIP guests** who deserve a personal invitation rather than a text
* **Urgent updates** where some guests may not check WhatsApp promptly — a ringing phone demands attention
* **A personal touch** — recording a message in the couple's own voice for close family or the wedding party
* **Accessibility** — reaching guests who are not active WhatsApp users

For routine announcements (save the date, venue directions, RSVP requests), WhatsApp messages are more cost-effective and easier to track. Use voice for the moments where the call itself is part of the message.

## How to send a voice announcement

    In the **Announcements** section of the app, tap **Voice Announcement** or **Create Voice Call**. Select your wedding and give the announcement a name (e.g., "RSVP Reminder Call").

    Tap **Upload Recording** and select an MP3 file from your device. After uploading, verify:

    * The correct file was selected
    * The duration looks right (this determines cost per call)
    * The upload completed successfully

    **Recording requirements:**

    * Format: MP3 only
    * Duration: 30–120 seconds recommended; longer calls cost more
    * Quality: Record in a quiet space, speak clearly at a moderate pace

    Choose who receives the call:

    * **Groups** — select one or more guest groups, or send to all guests
    * **Individuals** — pick specific guests by name

    If you select multiple groups, each guest receives only one call even if they belong to more than one group.

    Tap **Calculate Cost** to see the total cost before sending. The estimate shows:

    * Total amount
    * Per-guest cost breakdown
    * Number of recipients
    * Per-minute rate for each phone number's country

    Review this carefully — voice calls cost more than WhatsApp messages, and costs vary significantly by country.

    Review the recording, recipient list, and estimated cost. Tap **Send Voice Announcement** and confirm. Calls are initiated automatically — you don't need to take any further action.

## Monitoring call status

After sending, you can view the delivery status for each call from the announcement detail view. Status types include:

| Status          | Meaning                                       |
| --------------- | --------------------------------------------- |
| **Completed**   | Call was answered and the message played      |
| **No Answer**   | The guest's phone rang but was not answered   |
| **Busy**        | The line was busy when the call was attempted |
| **Failed**      | The call could not connect                    |
| **In Progress** | Currently ringing or connecting               |
| **Queued**      | Waiting to be initiated                       |

Status updates in real time as calls are delivered.

## Pricing

Voice call costs are calculated per minute, per guest, based on the guest's phone number country. Domestic (India) calls have a lower per-minute rate than international calls. Check the **Calculate Cost** screen in the app for current rates before sending.

## Recording tips

**For good audio quality:**

* Record in a quiet room with minimal echo
* Use your phone's voice memo app or a decent microphone
* Speak clearly and at a moderate pace — not too fast, not too slow
* Test playback before uploading

**For effective content:**

* Open with who you are and what wedding this is about
* State the purpose of the call clearly within the first 10 seconds
* Include the key details: date, time, location, or what action the guest should take
* Keep it under 60 seconds for simple reminders; 90 seconds maximum for detailed messages
* End with a warm, clear closing

**Example structure for a 45-second RSVP reminder:**

> "Hello, this is \[Name] calling about Priya and Arjun's wedding. I'm reaching out because we haven't received your RSVP yet. The deadline is March 1st. Please reply to the WhatsApp message we sent earlier, or call us directly. We'd love to have you there — thank you!"

  Voice calls to guests who don't answer may still incur charges depending on how far the call progressed. Review the cost policy in the app before sending to large lists.
